The Truth About “Free” Software
Software companies aren’t charities. When something is free, you’re either:
- The product (they’re selling your data or showing you ads)
- On a trial (free for 14 days, then pay up)
- On a crippled version (free plan is so limited it’s useless)
- Building it yourself (open-source, which takes technical skill)
None of these are terrible — but you should know what you’re getting into.
Actually Free Tools That Work
Google Workspace — Free Scheduling and Customer Tracking
Google Calendar for scheduling, Google Contacts for customer info, Google Sheets for tracking jobs and revenue, Gmail for customer communication. It’s all free and it works… technically.
This is how I started. Scheduled jobs in Calendar, tracked customers in a spreadsheet, emailed invoices from Gmail. It got me through the first 6 months. But by the time I had 3 jobs a day, the manual work was killing me. Forgetting to send invoices. Double-booking because Calendar didn’t know about drive time. Losing customer notes because they were scattered across texts and emails.
Verdict: Good for your first 1-3 months in business. Not a long-term solution.
Wave — Free Invoicing and Accounting
Wave is legitimately free for invoicing and accounting. You can create professional invoices, track expenses, and run basic financial reports without paying a dime. They make money on payment processing (2.9% for cards).
For a contractor who just needs to send better-looking invoices, Wave is solid. The invoices look professional, customers can pay online, and the accounting features help with tax time.
The limitation: Wave doesn’t do scheduling, dispatch, or job management. It’s purely financial. You’d still need something else for the actual field service workflow.
Verdict: Great as part of a budget stack. Not a standalone solution.
Square Appointments — Free for Solo Operators
Square offers free appointment scheduling for individuals. You get a booking page, calendar management, and Square’s payment processing. It’s designed for salons and consultants, not contractors — but the core scheduling functionality works.
The limitation: No job management, no customer property tracking, no estimates, no field service features. It’s a scheduling tool, not a business management platform.
Verdict: Better than nothing for the first month. Switch to Jobber as soon as you can.
Free Trials Worth Taking

Housecall Pro — 14 days free Similar to Jobber’s trial. Full access, real features, real jobs. Take both for a spin and see which clicks.
ServiceTitan — Free demo (not trial) ServiceTitan doesn’t offer a self-service trial. You get a guided demo with a sales rep. Fine for evaluating, but you can’t test it on your own jobs.
Open-Source Options (Free but Not Easy)
Odoo — Community Edition
Odoo is an open-source business management platform that includes project management, invoicing, CRM, and scheduling. The Community Edition is free. But — big but — you need technical skill to set it up, customize it for field service work, and maintain it.
If you’re (or someone you know is) comfortable with web servers, databases, and software configuration, Odoo can be a powerful free option. Most contractors aren’t, and that’s fine.
ERPNext
Similar to Odoo — open-source ERP system that can be configured for service businesses. Free to use, but requires technical setup. Has field service modules but they’re not HVAC-specific.
Verdict on open-source: If you’re technical enough to set these up, you probably know people in tech who’ll tell you to just pay for Jobber. The time investment in configuring open-source tools for HVAC work typically exceeds the cost of a year’s subscription to purpose-built software.
The Budget Decision Framework
Making less than $3K/month from HVAC work: Use Google Calendar + Wave. It’s free and adequate for a handful of jobs per week.
Making $3K-$8K/month: You can afford Jobber Core at $39/month. Get it. The time savings and professional presentation will help you break into higher revenue faster.
Making $8K+/month: You should be on Jobber or Housecall Pro at minimum. The question isn’t whether you can afford it — it’s how much money you’re losing by not having it.
Why $39/Month Is the Real “Free”
I ran the numbers on a solo HVAC tech doing 15 calls a week:
Cost of Jobber Core: $39/month = $1.30/day
What it prevents:
- 1 missed appointment per week (forgot to confirm): ~$300/week in lost revenue

That makes $39/month effectively free. The software pays for itself in the first day of the month and everything after that is profit.
My Honest Recommendation
If you’re reading this article, you’re trying to run a business as cheaply as possible. I respect that. But let me be real: the difference between free tools and a $39/month platform is the difference between looking like a side-hustle guy and looking like a professional contractor.
Customers notice. The contractor who sends a text confirmation, shows up on time, presents a clean invoice, and processes a card payment on the spot — that contractor gets the five-star review, the referral, and the return business. The contractor who scribbles on a clipboard and says “I’ll mail you the bill” — that contractor stays a side-hustle guy.
Invest the $39/month. It’s less than a single service call. It will be the best business investment you make this year.
